Refund Policy
Effective May 25, 2026
Steadfast Studio LLC ("Steadfast," "we," "us," or "our") is committed to delivering work that meets or exceeds expectations. This Refund Policy explains how we handle refunds, cancellations, and disputes for our video production services.
1. Deposits
A deposit (typically 25–50% of the project total) is required before production begins. Deposits are non-refundable once pre-production work has started, including but not limited to: creative development, location scouting, scheduling, equipment reservation, and hiring of crew or talent.
If we have not yet begun pre-production work, deposits are refundable in full upon written request.
2. Milestone billing
Projects are invoiced at defined milestones (e.g., pre-production complete, production complete, rough cut delivered, final delivery). Each milestone payment covers work completed up to that point. Milestone payments for completed work are non-refundable, as the services have been rendered.
3. Cancellation by the Client
If you cancel a project after work has begun, you are responsible for payment for all work completed through the date of cancellation. This includes:
- The non-refundable deposit
- Any milestone payments for completed phases
- Pro-rated charges for work in progress at the time of cancellation
Unused portions of future milestones will not be invoiced.
4. Cancellation by Steadfast
If we cancel a project for reasons within our control, we will refund any payments for work not yet delivered. Deposits for work not yet started will be refunded in full.
5. Scope changes
Changes to the agreed scope of work are handled through written change orders. Scope changes may affect pricing, timeline, and deliverables. We will provide an updated estimate for approval before proceeding with any scope change. Additional costs from approved scope changes are non-refundable once the work is performed.
6. Dissatisfaction and revisions
Each project agreement includes a specified number of revision rounds. If you are not satisfied with a deliverable, we will work with you through the included revision process to address your concerns.
If after completing all included revisions you remain unsatisfied, we will discuss the specific issues and determine a fair resolution on a case-by-case basis. Our goal is always to deliver work you're proud to use.
7. Dispute resolution
If a billing dispute arises, we encourage you to contact us directly at michael@steadfaststudio.org before initiating a chargeback or formal dispute. We are committed to resolving issues promptly and fairly.
If we cannot resolve a dispute through direct communication, either party may pursue resolution through mediation in Salt Lake County, Utah, before resorting to litigation.
8. Refund method
Approved refunds are processed through Stripe to the original payment method. Refunds typically appear within 5–10 business days depending on your financial institution.
